Set up PulseMeet in ten minutes.

PulseMeet is the booking and scheduling product in the Pulse suite. This guide takes you from a brand-new account to a working booking link with real calendar availability, reminders, a video meeting, and PiP meeting notes.

Before you start

What you need

PulseMeet is included with your Pulse account and is reached from the Pulse portal — there is no separate password.

A Pulse account

Sign in at login.pulsetechnologies.ai and open the PulseMeet tile. Your organization is created on first sign-in. Not a customer yet? Talk to our team.

A calendar to connect

Google Calendar or Microsoft 365. Without one, PulseMeet still books against your weekly hours — it just cannot see what else is on your calendar.

A place to meet

PulseVoice rooms work with no extra setup. Zoom, Microsoft Teams, and Google Meet each need the matching account connected first.

Quick start

Your first booking link

1 · Connect a calendar
Open Calendars and connect Google Calendar or Microsoft 365. Tick the calendars PulseMeet should check for conflicts, and pick the one that should receive bookings.
2 · Set your hours
On Availability, set the schedule’s time zone and your weekly hours. Add date overrides for holidays, travel days, or a one-off late start.
3 · Create an event type
On Event types, click New. Name it, set the duration, and choose Where — a video call, a phone call, in person, or your own text. Save.
4 · Share it
Copy the booking link from the event type. It looks like meet.pulsetechnologies.ai/p/your-org/intro-call. Visitors see open times in their own time zone.
5 · Watch it land
The first booking appears on Bookings with the attendee’s answers, the meeting link, and the calendar sync status. The attendee gets a confirmation with a link to reschedule or cancel.

What each screen does

PulseMeet has six screens. This is what lives on each one.

Event types

A named, reusable meeting: duration, buffers, notice, how far ahead people can book, and the questions you ask at booking time.

Availability

Weekly hours in your own time zone, plus date overrides for the days that break the pattern.

Calendars

Google Calendar or Microsoft 365 — which calendars to check for conflicts, and which one receives the booking.

Bookings

Every booking with its status, attendee answers, meeting link, PiP prep brief, and meeting notes.

Settings

Your booking link name, default time zone, meeting platform, integration keys, the embed snippet, and the booking webhook.

PiP

A prep brief before the meeting, notes after it, and follow-up questions either side can ask about what was said.

Calendars

Times you are busy are never offered.

Conflict checks
PulseMeet reads free/busy on the calendars you tick — whether a time is taken, not what the event is. Availability is re-checked at the moment of booking, so a slot that filled while someone was choosing is refused rather than double-booked.
Write-back
A confirmed booking is written to your destination calendar with the attendee as a guest. Rescheduling moves it; cancelling removes it.
Reconnecting
If a connection shows Needs re-auth, the provider revoked or expired the token — click Reconnect on the Calendars page. Bookings keep working meanwhile; conflict checks do not.
Disconnecting
Disconnect on the Calendars page deletes the stored tokens immediately. You can also revoke access from your Google or Microsoft account settings.
Event types

Every setting, and what it changes

An event type is the meeting people book. These are the fields on it.

Duration
How long the meeting runs. Start every controls the grid of candidate start times — set it to 15 on a 30-minute meeting to offer :00, :15, :30, :45 starts.
Buffers
Buffer before and after keep space around the meeting. The buffer is protected on your calendar, not shown to the person booking.
Minimum notice
How close to now someone may book. The default is four hours, so nobody drops a meeting on you in ten minutes.
Book up to
How far into the future the page offers times. The default is 60 days.
Where
Video call creates a meeting on your chosen platform. Phone call has PulseVoice call the attendee at the start time. In person and Custom take free text shown on the booking page and in the invite.
Meeting platform
On a video event type, which platform to use — or leave it on the organization default. PulseMeet checks every host is connected to that platform before it lets you save.
Assignment
Single is one host. Round robin spreads bookings across hosts, least-recently-booked first. Collective offers only times every host is free and books them all.
Questions
Extra fields on the booking form. Answers are stored on the booking, shown in your confirmation, and included in what PiP sees.
Availability
Which schedule governs this event type. Leave it unset and each host’s own default schedule applies — useful on round-robin event types across time zones.
Meeting platforms

Where the meeting actually happens

Set a default under Settings, and override it per event type when one meeting needs somewhere else.

PulseVoice
A Pulse video room per booking, ready with no extra connection beyond a PulseVoice API key in Settings → Integrations. Recorded rooms are what PiP meeting notes are built from.
Zoom
Connect your Zoom account under Settings → Meetings. PulseMeet schedules the meeting on your own account, updates it on reschedule, and deletes it on cancel. See the Zoom integration guide.
Microsoft Teams
Available when your destination calendar is a Microsoft 365 calendar — the Teams link is minted on the event as it is written.
Google Meet
Available when your destination calendar is a Google calendar — the Meet link is minted on the event as it is written.
If it is not ready
Saving an event type on a platform a host has not connected fails with a message naming the host and what to fix. Connect the account, then save again.
Reminders & notes

What goes out, and when

Confirmations and reminders are automatic. Text messages and PiP notes switch on with the matching key in Settings → Integrations.

On booking
The attendee gets a confirmation with the time in their own zone, the meeting link, and a manage link. Hosts get their own copy. A calendar invite is written to the destination calendar.
24 hours & 1 hour
Both sides get a reminder. The host’s reminder carries PiP’s prep brief — who this is, what has happened before, and what is worth asking.
By text
With a Pulse SMS key saved in Settings, confirmations and reminders also go by SMS to attendees who gave a mobile number. Sending requires a 10DLC-registered number on the Pulse SMS side.
After the meeting
For a recorded PulseVoice room, PiP writes a summary, action items by person, what was discussed, and suggested follow-up questions, and emails both sides. It typically arrives a few minutes after the call ends.
Ask PiP
Host and attendee can both ask PiP questions about the meeting afterwards — the host from the booking, the attendee from their manage link.
Reschedule & cancel
Either side can act from the manage link. The calendar event, the meeting on the video platform, and the pending reminders all follow.
Sharing

Links, embeds, and webhooks

Booking link
Each event type has a public page at /p/your-org/event-slug. Change Booking link name under Settings to change the organization part of every link at once.
Embed
Settings has a ready iframe snippet that drops the booking page straight into your own website.
Booking webhook
Point an endpoint URL at your own system under Settings and PulseMeet posts signed events on booking.created, rescheduled, cancelled, no_show, and completed.
If something looks wrong

Troubleshooting

No times offered
Check the schedule attached to the event type has hours on that weekday, that the date is inside Book up to, and that it is further out than Minimum notice. A date override set to unavailable also clears a day.
Times offered that are taken
The calendar holding that event is probably not ticked for conflict checks on the Calendars page, or the connection needs re-auth.
Wrong time zone
Two time zones exist: your profile zone and each schedule’s zone. Weekly hours follow the schedule’s zone. Visitors always see their own.
No meeting link
Open the booking. If the platform shows as not ready, the host’s account for that platform is disconnected. Reconnect it under Settings → Meetings.
No text messages
Texts need a Pulse SMS key in Settings and a 10DLC-registered sending number. Emails go out either way.
No meeting notes
Notes need a recorded PulseVoice room and PiP notes enabled in Settings. Use Fetch recap on the booking to re-request them.
